Job Function Summary:

The Service Plan Administrator partners with Service, Sales and Marketing team members in the development and administration of service plan and extended warranty solutions.  Acts as an advocate for operational processes, which include effective data management and transaction execution, to ensure predictable results, measures, compliance with specifications, and fulfillment of contracts.  Works with moderate supervision with some latitude for independent judgment.   

Job Functions: (Primary “essential” duties and responsibilities) [Indicate percent % dedicated to each function.]

  • Intake request for quotes for service plans and extended warranties from Field Sales, Service, Regional Managers and Area Directors.
  • Review requests for accuracy, existing information and partner with the sales and services teams to provide customer solutions within established Getinge guidelines.
  • Respond to internal and external customer requests via email and phone.  
  • Interpret and enter new service plans and maintain existing service plans via SAP.
  • Enter, analyze and update Maintenance Plan requests from Field Service, ensuring accuracy and compliance within PM cycles.
  • Provide final audit of discounting accuracy for analysis of profitability.
  • Reconcile extended warranty for proper deferment, working closely with Sales Support and finance to correct sales orders and financial data.
  • Under Management supervision, review and analyze government contracts / statements of work in conjunction with the Director of Government accounts for accuracy.
  • Coordinate with Senior Counsel to negotiate nonstandard terms and with Service management to negotiate nonstandard service levels.
  • Maintain internal files to ensure audit compliance; manage offsite storage and retrieval of documents.
  • Coordinate with the Regional Controller for nonstandard payment terms.
  • Participate in the development of detailed service plan tracking that incorporates win rates.  
  • Adhoc reporting to upper management and other duties as assigned.

Required  Skills and Abilities:

  • Positive, can do attitude with demonstrated ability to prioritize, multi-task and meet customer needs in a highly demanding and evolving environment.
  • Self-starter; ability to take the initiation to begin and complete tasks and projects
  • Strong verbal and written communication skills with the ability to interact with different levels of management and field associates.
  • Proficiency with SAP or similar ERP system.
  • Intermediate skills in Microsoft Outlook, Word, Excel and Power Point.

Experience and Education Requirements:

  • Associate’s Degree or an equivalent combination of education and related experience.
  • Bachelor’s degree preferred.
  • Minimum of 3 years related experience in contracts, sales administration or similar role.
  • Experience in an SAP’s Customer Service or Sales and Distribution module is preferred.
