Contracts Paralegal/Specialist - Wayne/Mahwah, NJ

Position Summary

The Contracts Paralegal/Specialist will support the Pricing & Contracts team in reviewing, revising and drafting Sales Contracts. The position conducts legal research, prepares memoranda and other documents. The position has the authority to make recommendations on the modification of contracts and provide information and guidance on the validity of contracts. The position will report to the Manager Commercial Support.

This position is  part of the Sales Operations Department and not the Legal Department.

 Job Details

  • Review contracts/documentation to ensure they meet corporate legal guidelines including compliance to the Getinge Organization’s Quality and Regulatory standards.
  • Interface with Getinge customers and vendors to provide input and recommendation on contracts.
  • Develop and modify contract templates to suit business and customer reads. Ensure proposed changes receive appropriate review and approval.
  • Assist with the creation of standard operating procedures to build on existing contract templates and experiences. Administer processes to ensure consistent use of best practices.
  • Preparation and submission of contracts researching questions regarding contracts, and ensuring proper signatures exist.
    • Monitoring, updating, report creation and reporting
    • Reminding internal and external clients as needed
  • Assist with researching and maintaining implementation of contract management to manage existing agreements, including physical and electronic documents.
  • Manage workflow of customer contracts to ensure timely processing. Encourage standardized approval, execution and archiving processes.
  • Maintain hard copy agreement files as well as electronic database for tracking signed agreements.
  • Review invoices associated with service payment, ensure work performed within budget, track and manage legal invoicing.
  • Interact with vendors. Assist with vendor management, tracking agreements, reviewing agreements as needed and ensuring compliance with company requirements.
  • Perform routine legal research and compiling data, charts, legal research and reports as required.
  • Perform and guide activities resulting from assigned or self-initiated work leading to innovative applications of existing processes or procedures, or work product having major importance to the department and organization.
  • Provide customer support for routine questions and inquiries received from internal clients.
  • Recommend/utilize/interpret advanced data and to present documentation and analysis and resolve complex problems.
  • Establish and cultivate an extensive network of support to facilitate completion of assignments.
  • Close working relationships are required with the Legal Department, Senior Staff, managers, support staff and external customers.  
  • Actively participates in comprehensive development of plans including an outline of duties and project assignments. Demonstrates independence by prioritizing and completing assignments.
  • Other responsibilities as assigned.
  • Establishes and cultivates an extensive network of support to facilitate completion of assignments.
  • Applies knowledge of business concepts, procedures and practices and/or develops technologies or processes. Has thorough understanding of fundamentals in cross functional areas. Recommends/utilizes/interprets advanced data and to present documentation and analysis and resolve complex problems. Performs and guides activities resulting from assigned or self-initiated work leading to innovative applications of existing processes or procedures, or work product having major importance to the department and organization.
  • Actively participates in comprehensive development of plans including an outline of duties and project assignments. Demonstrates independence by prioritizing and completing assignments.
  • Solves complex problems and provides solutions. Troubleshoots problems.

 Qualifications

  • Associate’s Degree or equivalent combination of education and experience.
  • Paralegal Certificate preferred.
  • A minimum of 3 years related experience
  • Experience using a CRM or related tool to manage contracts.
  • Ability to effectively work cross-functionally across all levels in the organization including with upper management. 
  • Proficiency in entering new contracts and other customer related information in appropriate data bases, tracking, and acting as liaison with employees.
  • Must be able to work in a high-paced environment handling multiple tasks at the same time; and must maintain confidentiality of projects, legal and business information at all times.
  • Able to solve complex problems and provides solutions. Troubleshoots problems.
  • Applies knowledge of business concepts, procedures and practices and/or develops technologies or processes.
  • Has thorough understanding of fundamentals in cross functional areas.
  • Strong written and oral communication and strong command of the English language as relates to proper grammar, punctuation and editing skills as required.
  • Superior organizational skills to maintain order of files and prioritize work.
  • Proficient in Microsoft Word, Excel, Outlook, and PowerPoint.
