Job Function Summary:

The Credit and Collections Specialist is responsible for customer credit line decisions, order release, and escalated disputed items collected for an assigned portfolio of accounts in accordance with company policies and expectations for minimizing risk. Recommends and establishes credit limits and handles special credit arrangements in accordance with the company’s credit policy. Contacts internal and external customers regarding escalated account collections and works to resolve issues with disputed items. Reviews all credit holds daily to determine release actions.

Job Functions: (Primary “essential” duties and responsibilities)

  • Utilizes discretion in extending credit to customers, including reviewing existing account status to determine whether an order hold should be used.  Analyzes account information and trends. Analyzes D&B reports, customer account trends, financial statements or other information provided to establish a credit line or recommend a credit line in accordance with company policies and approval authority matrix.  Exercises credit line authorization levels up to $200,000 and compiles/prepares documentation for approvals in excess of $200,000. (25%)
  • Reviews held orders on a daily basis, resolves issues that initiated the hold and provides notification to the customer and sales if an order is not released. Directs accounts that need priority collection action to Shared Services Center collectors. (40%)
  • Resolves customer disputes or issues by working with sales, service, pricing, customer service or other departments as necessary to resolve issue and effect payment. (15%)
  • Prepares recommendations for escalating accounts to third party collections. (5%)
  • Handles billing of government contracts through WAWF and special billing requirements on construction projects.  (5%)
  • Recommends write off requests to be charged to Bad Debt. (5%)
  • Prepare sales tax credit requests to tax dept issuance of credits (5%)
  • Work very closely with the credit & collections team to develop processes to streamline or reduce workload.

Required Skills and Abilities:

  • Ability to prioritize tasks in a fast-paced environment.
  • Ability to be flexible and share job duties when needed (Team Oriented).
  • Ability to work flexible hours as needed-extended day, evening order rotation or weekend. (Regular hours 8-5)
  • Intermediate skills in Microsoft Outlook, Word, Excel and Power Point.
  • Must have exemplary oral and written communication skills.
  • Excellent quantitative and analytical skills.
  • Knowledge of financial statements and cash flow analysis, industry/market credit research, liens and bonds
  • Experience in SAP is preferred.

Experience and Education Requirements:

  • Associate’s degree in a related field or an equivalent combination of education and relevant experience.
  • A minimum of 5 years related experience in credit and collections.
